For Malaysian companies running SAP, e-invoicing is no longer a future project. Every invoice now has a second life outside the ERP: it must be submitted to LHDN MyInvois, validated, given a unique identifier (UIN) and returned to the buyer with a QR code. If it fails, someone has to notice, fix it and resubmit. Multiply that by thousands of invoices a month across several entities, and compliance quietly becomes one of the most expensive routines in the finance function.
equalOne has built a custom solution that closes this loop using tools many SAP customers already know: Alteryx for integration and automation, and monday.com as the finance team’s operational view. Done well, it can save a mid-sized SAP organisation hundreds of thousands of ringgit a year.
The hidden cost of e-invoice compliance
Most of the cost of e-invoicing doesn’t show up as a single line item. It accumulates in three places.
People time. Exporting invoice data from SAP, reformatting it, uploading it, checking which documents were validated and chasing the ones that failed is repetitive work. It invites errors and duplicate submissions, and it depends on whoever remembers to check, which is fragile across entities, month-end and public holidays.
Transaction-based fees. Many middleware and compliance platforms charge per validated invoice, a monthly platform fee, or both. Published Malaysian pricing ranges from roughly RM0.12 to RM2.00 per invoice, with enterprise subscriptions reaching tens of thousands of ringgit a year. At high volumes, these fees grow every year with your business.
Penalty exposure. Failure to issue an e-invoice is an offence under Section 120(1)(d) of the Income Tax Act 1967, with a fine of RM200 to RM20,000, imprisonment of up to six months, or both, for each instance of non-compliance. For larger taxpayers the relaxation periods have ended, and LHDN’s Special Voluntary Disclosure Programme, announced in July 2026, is a clear signal that the focus is now on getting compliance right.
How the solution works
The solution connects four components, each with one job:
- SAP stays the system of record for invoices, master data, corrections and cancellations.
- Alteryx and the DVW Connector extract qualifying invoices from SAP on a schedule, prepare them, screen out documents already submitted, and move the data where it needs to go.
- monday.com gives finance one place to review invoices before submission, see what LHDN returned, and follow up on anything that failed.
- LHDN MyInvois validates each signed e-invoice and issues the UIN.
The validation response, status and UIN flow back to monday.com for follow-up and to SAP for the invoice record, so SAP can issue the validated e-invoice with its QR code. When an invoice is rejected, the team corrects it in SAP as a standard posting and the next scheduled run picks it up again. No one moves invoice data between systems by hand. People step in at only two points: reviewing before submission, and resolving exceptions afterwards.
Customer e-invoices and self-billed e-invoices run through the same architecture and appear in the same operational view.
Why Alteryx and monday.com
Each product on its own solves only part of the problem. SAP holds the invoice but doesn’t organise follow-up. A connector moves data but doesn’t give finance a place to work. A workflow tool shows status, but only if something keeps it up to date.
Alteryx provides governed, scheduled automation without heavy custom coding, and it can be reused for other finance data workflows. monday.com provides a shared board where every invoice carries its status, UIN, validation link, owner and next action, with dashboards that summarise validation rates and open exceptions by entity. Together they turn e-invoicing from a compliance interface into an operating model your team can actually manage.
Where the savings come from
Savings depend on invoice volume, the number of entities, and how much of today’s process is manual. The illustrative example below shows how quickly the numbers add up for a mid-sized SAP group.
| Savings area | Illustrative assumption | Estimated annual saving |
|---|---|---|
| Manual handling removed | 3 finance staff freed from extraction, upload and status checking, at RM72,000 fully loaded cost each | RM216,000 |
| Per-invoice fees avoided | 60,000 e-invoices a year at RM2.00 per invoice | RM120,000 |
| Penalty risk reduced | Fewer missed or unresolved invoices, each a potential RM200–RM20,000 offence | Risk avoided, not counted |
| Total | About RM336,000 a year |
There are further benefits that are harder to price but just as real: faster answers to “where is this invoice?”, shorter time from rejection to resubmission, less effort to evidence an invoice’s history for audit, and a single architecture that can onboard additional entities and document types without starting again. Companies that already license Alteryx or monday.com can see value even sooner, because the platforms are already in place.
Controls built in from the start
Documents are digitally signed before submission. Already-submitted invoices are screened out before each run to prevent duplicates. SAP remains the source of truth, and the UIN and validation link are written back to it. During implementation, equalOne also assesses certificate custody, API credential storage, monday.com board permissions, run monitoring and alerts, audit retention, and testing against LHDN’s test environment before go-live.
Find out what you could save
We start with a working session with your finance, tax and IT leads. Together we walk through the reference solution, map your customer and self-billed scenarios onto it, identify data readiness questions in your SAP landscape, and measure your current baseline so the savings case is built on your numbers, not ours.
The savings shown are an illustrative example based on stated assumptions and published Malaysian market pricing ranges; they are not a quote or guarantee. Actual results depend on your invoice volumes, processes and licensing, and are quantified during discovery.
